Not everyone knows how to use Outlook to see other people's availability, but doing so can really reduce the amount of back-and-forthing to find a suitable time.

Add calendars: Log into Outlook -> Calendar -> Add Calendar -> Add From Directory -> Type in email address: magically see calendars so it's easy to find times for meetings
OR
Use meeting schedule tool in Outlook: Log into Outlook -> Calendar -> New Event/Meeting -> Add invitees -> Scheduling assistant.

You need to tell people your email address if you reply to a message asking them to book the meeting or they may accidentally book a meeting with the ask-jgi calendar (which no one looks at).
