Project meetings

Weekly check-in

I'll set up a weekly check-in meeting between Aaron, Brian, and myself. (Oleysa from 18F will also be invited.) The standing agenda of these meetings:

  • What happened last week
  • Plans for the coming week
  • Blockers

(I'll also have separate periodic check ins and planning meetings with Forest Service staff involved in our various related projects, but we'll have at least this weekly meeting with the three of us.)

Monthly retros

We'll also have monthly retrospectives with Aaron, Brian and myself. (Oleysa from 18F will also be invited.) Retros will cover:

  • What's working well
  • What could be better
  • What actions will we take to improve

(I'll also have separate retros with Forest Service staff involved in our various related projects, but we'll have at least this monthly retro with the three of us.)

Tools

Documents and tasks in Github

We'll host project documents and the task board in a (Github repository)[https://github.com/18F/fs-human-centered-design] for this project. I'll also keep a (task board)[https://github.com/18F/fs-human-centered-design/projects/1], updated with what I'm working on, there.

Github is the one place that both Forest Service and GSA staff can access without much rigamarole.

Chat in Slack and Skype

We have a channel in the GSA TTS Slack for this project, #fs-hcd. Aaron and Oleysa are there already. I will invite other Forest Service folks involved in these efforts to join us there, as well.

As the project gets underway, I will also make myself available on Forest Service Skype.

Other rituals

"Weekly ship"

I will prepare a weekly update on this project's progress for Aaron and Brian. I'll also work with Oleysa to include project financial status in each one. I'll send a shorter version to other Forest Service staff involved in our efforts.
