This is the help page for Spec users. (not developers)

What do the event colors mean?

Fully staffed events are shown with green. Overstaffed events are shown with light blue. Partially staffed events are shown with orange. Unstaffed events are shown with red. Cancelled events are shown with gray.

Event colors

In the beginning and end of each event, you will see a darker section. These sections stand for the setup or breakdown periods. The actual event starts at the end of the first dark section and ends at the beginning of the second dark section.

If you see a zigzagged area between the two dark sections, that means that the technician is not required to stay during the event itself. That means that it is a setup and breakdown event.


What do the event icons mean?

The camera icon means that the event is supposed to be video recorded and/or webcasted. The audio icon means that the event is supposed to be audio recorded. The ban icon ( ⃠ ) means that the event was not registered into EMS (and imported to Spec) three days before it was going to happen. According to IMS policies, IMS is not required to staff those events.


What do the striped events mean?

Striped events mean that the event has an unconfirmed shift. Unconfirmed shifts only happen when the staff is automatically assigned to the event, by the system. There are also question marks in certain areas, for you to notice the situation.

How do I share my Google Calendar with Spec?

Step 1) On the top right corner of Spec, you will see a blue button, with the label "G", standing for Google. Click that button.

Step 2) If you are using two accounts at the same time, you will be redirected to a page that you have to select one of your Google accounts. Select the Wesleyan one. If you are asked to login, login with your Wesleyan credentials. Spec does not accept anything else.

Step 3) After this, you will see a page that you allow Spec to access your information. Click "Accept".

You will be redirected to Spec. Your calendar is now accessible by Spec and it will be used for automatic assignment, to check if you are available at a given time. However, it will only access your main calendar in your Wesleyan account. Therefore, you should register your events accordingly. If you have any problems with this, please ask your manager for assistance.

When you share your calendar with Spec, you will also get a nice feature: If you click the blue button on the top right corner that is labeled "G", it allows you to see your Google Calendar events within Spec, shown with chrome yellow. If you need to hide these events, just click the "G" button again.
