How to Manage a Project
To add a project:
- Click on 'Add a Project' in the top right of your screen.
- If you haven't added any projects yet, you will also find a blue 'Add a Project' button on the Projects page.
This will open up a form for you to add general information about the project. The general information section of a project's information includes:
The Project Identifier is the reference number that is assigned to the project by the organisation. This identifier is concatenated with organisation-identifier to generate a unique IATI Identifier for the project which will ensure that each new project is unique among all the projects (IATI activities) published to IATI's registry.
This field is required information.
This is the title of the project which the CSO has implemented or is implementing. This will be the title of the IATI XML file for this project/activity.
This field is required information.
This refers to the general overview of the project/activity.
This field is required information.
This refers to the specific objective/s of the project. This will be mapped to the description of the IATI standard with the description type “Objectives” (code=2).
This refers to the types of groups that are intended to benefit from the project.
This refers to the current status of the project/activity in question. You will be able to choose from 6 options as defined in the ActivityStatus codelist.
This field is required information.
These are the thematic sectors under which the project is operating. AidStream Tanzania will use only the DAC 3 Digit Sector codelist.
This field is required information.
This refers to the start date of the project.
This field is required information.
This refers to the end date of the project.
This field requires information about which countries the project is being implemented in. Tanzania will be selected by default. There are Tanzanian CSOs who are operating in neighbouring countries as well; they will be able to select the additional country of their working here.
This field is required information.
The project location will be the regions and districts of Tanzania only. If the organisation selects countries of operation other than Tanzania, the user will be able to add free text to describe the region and district.
1. Region
This is the list of Tanzanian regions from which users can select the region where the project/activity in question is operating.
2. District
Once the region is selected, the list of districts from that region will be displayed. The organisation may select as many districts as they want from the list, if the project is operating in multiple districts.
This is the organisation which provides funds to the project. There can be multiple funding organisations for a given project.
1. Organisation Name
This is the name of the organisation that funded the project.
2. Organisation Type
This is the type of organisation that funded the project. The OrganisationType codelist as defined by IATI contains 10 organisation types, for e.g. government, international NGO, private sector and so on.
This is the organisation that physically carries out the project. There can be multiple implementing organisations for a given project.
1. Organisation Name
This field should contain the name of the organisation/s which implemented the project.
2. Organisation Type
This is the type of organisation that implemented the project. The OrganisationType codelist as defined by standard contains 10 types, for e.g. government, international NGO, private sector and so on.
At least one Implementing Organisation must be entered.
This is the document related to results/outcomes/outputs/impacts of the project.
1. Title
This is the short title that describes the document.
2. Document URL
This is the link to the document that highlights the results/outcomes of the project/activity. The system does not currently support the upload of documents directly into AidStream, but organisations should upload their results documents into another online repository (such as your website/Dropbox/Github/other online service) and then add the public link to that document into the AidStream system.
This refers to the Annual Report written for each project.
1. Title
This field should be filled with the title of the project's Annual Report.
2. Document URL
This is the link to the Annual Report. The system does not currently support the upload of documents directly into AidStream, but organisations should upload their Annual Reports into another online repository (such as your website/Dropbox/Github/other online service) and then add the public link to that document into the AidStream system.
Note: Please keep in mind that all fields marked with a red asterisk "*" have to be filled out.
After you have added the necessary information, please click on the blue button that says "Create Project" and you will be redirected to the Project Overview page.
You can also create a duplicate of an existing project/activity. To duplicate a project/activity:
- Select "Projects" from the sidebar menu on the left of your screen. This will open a listing page showing all of your projects.
- In the Actions column, click on the 'paper' icon. This will automatically duplicate your project.
After the duplicate project/activity has been created, you will be greeted with a 'success' message.
The duplicated project/activity will contain all the information from the original project/activity, except:
- Results/Outcomes Documents
- Annual Reports
- Transactions
- Disbursement
- Expenditure
- Incoming Funds
Note: Please bear in mind that the duplicate project/activity must be updated to contain a unique Project Identifier.
There are two ways to edit a project.
- Select "Projects" from the sidebar menu on the left of your screen. This will take you to the list of projects. Under the 'Actions' column, you will find a pen icon. Click on this icon and you will be taken to the form where you can edit the general information for your project.
- On the Project Overview page, you will find an edit button to the right of the Project title. Click on this to get to the form where you can edit the general information for your project.
To delete a project:
- Select "Projects" from the sidebar menu on the left of your screen. This will open a page where all of your projects are listed.
- In the Actions column, click on the 'bin' icon.
To override the default values for a project you are creating, follow these steps:

Click on "Override Project Default values" in the top right corner of the 'Project Overview' page.

It will take you to a form showing the fields Default currency and Default language. You can change these two fields to reflect the values for this particular project.

Once you have edited these fields, click on the blue button that says "Override".
The pre-defined default values set at the organisational level will now be overridden for this project, replaced by the new values you have set.
