1. How to publish data of AidStream?
We can publish activity and organisation file through AidStream directly to IATI. But publishing workflow is needed to complete.

2. How data gets published from AidStream to IATI and d-portal?
With the publishing setting managed in AidStream account by the respective organization, their data gets published into IATI within a few minutes. And IATI data is updated every night in d-portal (importing any data which has changed from the previous day) and a full import is done each weekend - in each instance, the data is pulled from the IATI Registry.
3. What does the red and Yellow message denote that comes while saving/Publishing the element/Activity or uploading CSV?
The red message that can be seen over the AidStream pages denotes to an error which should be updated or changed in order to publish the data. While Yellow message denotes recommendations for the improvement of data quality. These are not errors but should be implemented/followed in order to complete the activity. But in the case of CSV file uploading, the yellow message doesn’t need to be implemented in order to upload the file.
4. Segmented/Unsegmented of an Activity? And what is the best option to choose?
While publishing an activity, you have an option in the publishing setting for segmentation and un-segmentation of the activity. Segmenting an activity will separate files for each country and/or region in which the reported activities take place. And un-segmentation will publish the activities in a single file. If the reported activities are not country-specific, selecting unsegmented is the best option.
- Note: Segmentation of each activity is not possible if the activities are country/region related.
5. How to change the organization information?
Changes related to information such as organization location, user information can be changes through setting page. While other changes should make through IATI at first and accordingly changes can be made in AidStream. As these two platforms should go align, changes in only one can arise issue while publishing an activity.
6. What happens when you change your reporting organisation?
It affects the
activity identifier
. Since reporting organization Identifier is the starting ID of activity; with the change ofreporting organisation identifier
, the newly created activity will have a new identifier while published activity identifier cannot be changed.
- According to registry standard, activities created under an organisation must contain the same reporting organization ID for the data consistency. Data mismatch under the different activities identifier will raise an issue that whether all the activities are of the same organization or not. AND this reporting organization ID must be the same as the IATI-identifier recorded.
Therefore, while changing a reporting organization ID one should consult with IATI team and change accordingly into AidStream. And should edit all the Identifier of published activity.
7. How to reset the password?
Visit the login page of AidStream. Input your username or email as suggested. (Image required.) Click into forgetting your password. You will be lead to reset password page. Here insert your email address and click into send password reset link. Within a minute you will receive an email into your inputted email. Check every possible folder including spam if you didn’t receive an email in the primary box. Click into that token link and follow the instructions. You will be able to get/create/change the password as required.

8. Can budget/Organization data be uploaded?
As like activity upload, organization/budget data cannot be uploaded. But inside the information input section, we can find an element “document link”. Through here, we can link the published document or organization’s website where related information could be obtained.
9. How to mentioned hierarchy in an activity?
Hierarchy is a mandatory default value. The hierarchical level within the reporting organization’s subdivision of its units of aid. (eg activity = 1; sub-activity = 2; sub-sub-activity = 3). If the hierarchy is not reported, then 1 is assumed. But when we are reporting sub-activity or sub-sub-activity, it can be mentioned through the respective activity view page.
Click into “Override Activity Default’ lies in the top right side. Edit the value of “Default Hierarchy” as required. With the mentioned of units, related activity should be populated and parent activity should be linked for the clarity. And to avoid double counting, financial transactions should only be reported at the lowest hierarchical level.
10. How to link a document in an activity?
Document can be linked through document link element in an activity level. Even in transaction and result also document link can be mentioned. Further, organisation data related document can be linked through organisation document link element.
11. Why we get “header does not match” error while importing a CSV file?
It is because the template has been edited by the user accordingly with their need. The header should not be edited from the template provided for the successful upload of data.
12. where can I found the list of published file?
From the left side menu bar, “published files” page can be accessed. In this page, both the published organisation and activities list could be obtained.
13. Can I see the logs/History of the changes that users have made in our organisation?
If you are assigned as an administrator for your organization, logs/History can be visible through the “Activity log” page that lies in the left side menu bar at the bottom level.

We have a page “download” where you can download a complete activity, simple activity containing basic elements, & only transactions of the activities.
2. Who can use AidStream?
AidStream is an online platform for organisations that wish to publish aid data in accordance with the International Aid Transparency Initiative(IATI) format but want to avoid dealing with the complexities of creating XML.
3. Does the data get removed in IATI if we delete data in AidStream?
Yes, the data gets removed in IATI if we delete data in AidStream. Please contact the AidStream team through [email protected] if you need any further information.
4. How the system gets upgraded of AidStream?
With the upgrade in standard of IATI, the AidStream system gets upgraded. But, the continuous improvement goes on with the user perspective.
5. what is the size of an XML/CSV that can be uploaded in AidStream?
Everything has its limits and so do AidStream has. You can write to us on [email protected] if you face an issue while importing the file.
6. What are the ways to populate data in AidStream?
There are mainly three ways to populate the data in AidStream.
- Manually editing for an Activity
- XML importing of an Activity
- CSV file importing for an Activity or a selective elements
7. How to set up an account in AidStream?
Follow the link: https://aidstream.org/ Now click into, “Get Started”. With your organization requirement, you can sign up to LITE or CORE version. Input the field as guided and at last, verify through Email, your organization account will be set up in AidStream.
8. What is the relationship between IATI and AidStream?
AidStream is not associated directly with IATI however IATI secretariat is the support partner of this platform.
