How to use the mass import option for uploading activities
You can directly add an activity with the help of our CSV converter. On the top right hand side if you hover over 'Add an New Activity' you will get two options in a drop down menu; to either add an activity manually or upload an activity. We have covered adding manually option in creating an activity section. When you click on upload activity you will be directed the page(shown below) from where you will be able to upload activity CSV file.
After you reach this page, go to ‘download activity template’ which should give you four download options. The options you will receive for downloading templates will be as follows.
- Basic template: The basic template will contain the elements of basic field and activity default.
- Other field template: will contain the elements of basic field, activity default and other fields.
- Transaction template: Will contain element of basic field, activity default and transaction
- Other field + transaction template: Will contain element of basic field, activity default, transaction and other fields.
You can open the csv file and open it with excel or other similar application. Do not change the format of the file or add more cells. This will result in a failed upload. Once the file is downloaded you can expect these following elements in your spreadsheet
The concepts and rules for each element is the same as rules mentioned before. So it the same as when you are using the form based version of AidStream.
- When using the CSV template you can use multiple rows for the same activity.By leaving space between two activities you can allocate more cells for an activity. It has been shown in the picture above.
- Dates should be in the format yyyy/mm/dd or dd/mm/yyyy format
Once you have created the file to be uploaded, go to the upload page and and go to the ‘choose file’ button and upload your file. Make sure the format is CSV and the structure of the template has not been altered.
If your file is correct then it will be counted as valid. Now you can add the successfully upload the activities by selecting the valid ones and importing them(top right hand corner). If there are mistakes then the file will have a red colored highlight to it.
If your file is invalid, clicking on it should show the mistakes. Based on the feedback implement the changes and upload the file again.
